Robert Half Executive Assistant in Chicago, Illinois

Description We are offering a contract to hire employment opportunity for a proactive Executive Assistant to join our team in Chicago, Illinois. As an Executive Assistant, you will play a pivotal role in supporting our executive team, ensuring smooth operations across the organization. This role is integral to our team, requiring exceptional organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.

Responsibilities:

• Provide comprehensive administrative support to our executive team

• Manage and maintain executive schedules, including arranging appointments and travel, preparing agendas, and coordinating logistics for meetings

• Prepare and manage expense reports, ensuring they are accurate and submitted in a timely manner

• Assist in the preparation of regularly scheduled reports

• Develop and maintain a filing system to ensure all documents are organized and easily accessible

• Act as the point of contact among executives, employees, clients, and other external partners

• Manage information flow in a timely and accurate manner

• Uphold a strict level of confidentiality and exercise discretion in all professional interactions

• Use accrued expenses data to assist in budgeting and financial planning

• Perform other related duties as required or assigned. Requirements • Proficiency in managing Accrued Expenses and Expense Reports

• Excellent organizational, planning and prioritization skills

• Strong written and verbal communication abilities

• Proficiency in using Microsoft Office Suite, especially Excel and PowerPoint

• Ability to work effectively in a fast-paced, deadline-driven environment

• Excellent problem-solving abilities and attention to detail

• Ability to maintain confidentiality and handle sensitive information with discretion

• Prior experience in an Executive Assistant role is preferred

• Strong interpersonal skills and ability to build relationships with stakeholders, including staff, board members, and external partners

• Ability to work independently and as part of a team

• Proven ability to handle multiple tasks simultaneously

• Demonstrated ability to work with minimal supervision.
